These General Terms and Conditions (“Terms”) govern your (“Attendee”, “Registrant”, “you”, “your”) participation in Hexcon24 (the “Event”), organized by Mitsogo Inc. Dba Hexnode (“Hexnode”, “Organizer” “us”,”we”,“our”). By registering for the Event, you acknowledge that you have read, understood, and agree to abide by these Terms and Conditions.
REGISTRATION
The Attendees may register for the Event through the provided registration process available at https://www.hexnode.com/events/hexcon24/. Tickets shall be available at an Early Bird Offer of $399 until August 30th, 11:59pm PDT. Upon expiration of the early bird offer, the regular ticket rate of $599 will be in effect until September 27th, 11:59pm PDT. As part of a limited-time promotion, we reserve the right to provide discount coupons or similar offers, collectively referred to as "discounts."
We exclusively process payments via card transactions. Upon the completion of your payment, we will promptly generate an invoice which will be dispatched to the email address provided during the transaction process. Attendees shall receive the tickets by email within 48 business hours following the completion of your purchase.
REGISTRATION TRANSFER
Attendees may transfer their registration to another individual/entity if they are unable to attend the event provided that the original registrant submits a written transfer request to events@hexnode.com prior to 27th September 2024, 11.59pm PDT. We retain the right to approve or deny transfer requests at our discretion. Please note that the transfer does not include any additional benefits unless explicitly stated otherwise.
CANCELLATION
Cancellation by Attendee:
Attendees may cancel their registration subject to the following conditions:
If you are purchasing group tickets, you are not eligible to cancel an individual ticket from the group order. In the event of individual ticket cancellation, you must cancel the initial order and place a new order. Cancellation charges as above will apply.
Cancellation by the Organizer:
In the unlikely event of rescheduling, cancellation, or shifting the Event to a digital-only format, we'll inform you of the same through a public announcement in events@hexnode.com or to your email. If the event is canceled, your registration will also be cancelled, and we'll refund any registration fees received. If the event is rescheduled or shifted to a digital format, and you choose not to attend, you must notify us in writing within two weeks of receiving our notice to be eligible for a refund. Failure to do so within this timeframe renders you ineligible for a refund.
If you're eligible for a refund, we will credit it back to your original payment method. These cancellation terms shall remain in effect irrespective of the reason for your cancellation. Please note that refunds might take up to 30 days to process.
TRAVEL & ACCOMMODATION
Attendees are solely responsible for arranging their own travel and accommodation for the Event. We will provide recommendations regarding travel and accommodation options for the convenience of attendees, which will be listed on our website, but attendees are under no obligation to use these services. We will not be held responsible for any issues, damages, or losses arising from travel or accommodation arrangements made by Attendees.
In the event of cancellation, rescheduling, or changes to the Event format, we will not be liable for any costs or expenses related to travel or accommodation. Attendees are advised to make flexible and refundable travel and accommodation bookings to accommodate any unforeseen changes to the Event schedule.
REGISTRATION CREDENTIALS
To attend the Event, you will you receive a unique registration credentials. Attendees are required to present these Credentials for admission to the Event. Credentials are non-transferable and may only be used by the registered Attendee. We reserve the right to refuse entry to any individual who cannot provide valid Credentials or whose Credentials appear to be altered, counterfeit, or otherwise invalid. Attendees are responsible for the safekeeping of their Credentials and must not share them with others. Lost or stolen Credentials should be reported to us immediately.
To collect your Credentials, ensure all registration fees are settled, and that you present a government-issued photo ID such as a driver's license or passport matching the name on your registration.
PRIVACY
By registering for the Event, you consent to the collection, use, and disclosure of your personal information in accordance with our privacy policy.
We will collect certain information about you and use it solely to provide you with information and services associated with an Event. However, we do not store any sensitive personal data related to you including but not limited to Personal ID numbers such as social security, driver’s license, passport, state ID, payment information, citizenship, etc.
We may share your registration data with our vendors to enhance your Event experience and provide event-related information. By providing your registration data, you consent to these actions. However, we will not sell your data to third parties.
Additionally, you may have the option to share your data directly with other Attendees or partners during the Event. It's important to note that we don't control how other parties use your information and it is solely your decision whether to share your data.
CODE OF CONDUCT
You must always conduct yourself in a professional and respectful manner during the Event. If your conduct at the event is deemed disruptive to others or violates these Terms, we retain the authority to deny admission or remove you from the event without reimbursement or refunds. We strive to create a positive and inclusive Event environment for all Attendees, regardless of gender, gender identity and expression, sexual orientation, disability, physical appearance, race, age, or religion. Harassment in any form will not be tolerated. This includes the use of harassing language and imagery, including sexualized content, which is deemed inappropriate at the Event, or any related social activities sponsored or organized by Hexnode.
If an Attendee engages in harassing behavior, or if we have reasonable grounds to believe that an attendee is engaging in such behavior, we reserve the right to take necessary and lawful actions to uphold a positive event environment for all attendees. This may include issuing a warning to the offending Attendee or removing them from the Event without a refund and without assuming any liability. Any Attendee asked to cease harassing behavior, is expected to comply immediately.
The opinions expressed by attendees, speakers, or sponsors are their own and not necessarily endorsed by us. Attendees are responsible for their content, including presentations, marketing materials, and online content, and are prohibited from using any content that infringes on intellectual property rights or is harassing, misleading, or unlawful. You consent to follow all house rules at the Event premises.
AGE LIMITATION
This Event is open to individuals who are 18 years of age or older. Individuals who do not meet the minimum age requirement will not be permitted to attend the Event, even if they have registered or purchased tickets.
PHOTO/VIDEOGRAPHY & AUDIO RECORDING
Unless otherwise notified, Attendees are permitted to capture photos, videos, or audio recordings provided you follow these Terms.
These recordings may contain copyrighted, trademarked, or otherwise protected material owned or licensed by us. Attendees are not permitted to use event recordings or photographs for commercial purposes, public distribution, or promotion without obtaining prior written consent from us and any individuals whose images or likenesses are captured. It's important to refrain from using recordings in a misleading or disparaging manner, implying ownership, for commercial purposes, or in connection with obscene or unlawful material. If we request discontinuation of any recordings, prompt compliance is expected. We encourage all Attendees to use exercise good judgment, be respectful of others, and honor their rights, privacy, and comfort when documenting their event experience.
We may employ official photographers and videographers to capture event content for promotional and archival purposes. By attending the Event, you grant us consent to use the recording of your image, voice, likeness, presentations, or other copyrightable material, including video, audio, and still photography in our website, related publications and social media handles.
VISA & TRAVEL AUTHORIZATION
You are solely responsible for securing and covering all expenses related to obtaining necessary travel authorizations to enter the USA for attending the Event. We do not offer refunds or accept any liability if you are unable to attend the Event due to lack of required travel authorizations.
SAFETY & SECURITY
To ensure the safety of all attendees, we reserve the right to enable security personnel to conduct security checks on Attendees as necessary. We are not responsible for lost, damaged, or stolen items, so Attendees must take care to secure their personal belongings.
You agree to carry your mobile phone with the number registered for the Event during the Event to receive critical health, safety, and event updates. We maintain the discretion to refuse entry or remove any Attendee from the event venue, entry points, or our controlled locations without any liability. if you violate these Terms or if there is a reasonable suspicion of such violation.
SMOKING, ALCOHOL & PROHIBITED SUBSTANCES
Attendees must refrain from smoking, including the use of smokeless tobacco products, e-cigarettes, or vapes, within the Event venue, except in designated smoking areas.
Alcohol served or available for consumption at the Event must be consumed responsibly and in compliance with the legal drinking age in the Event jurisdiction. Attendees may be denied alcohol service if visibly intoxicated or engaging in disruptive behavior.
The Event maintains a zero-tolerance policy regarding illegal drug use, disruptive behavior due to alcohol or substance consumption, and violations of local laws related to alcohol and substances. Attendees found violating these policies may be immediately removed from the Event without a refund.
DISCLAIMER
The Event is provided on an as-is basis, without any warranties, whether express or implied. We do not assure the attendance of any third party, including speakers, nor do we guarantee the occurrence of any scheduled session, breakout, keynote, or other activity and we do not offer refunds or compensation for changes to the agenda.. We reserve the right to modify the Event schedule, content, or cancel sessions, breakouts, keynotes, or other activities at any time and without prior notice. Updates to the agenda may include changes in speakers or session cancellations. Additionally, admission to specific sessions is subject to capacity limits and availability.

INTELLECTUAL PROPERTY RIGHTS
Hexnode owns the copyright and intellectual property rights to all Event-related content, including presentations, performances, and Event branding. Attendees must seek permission from us for any public use or distribution of Event materials. If you are a speaker at the Event, you retain ownership of the content you present. You agree to grant Hexnode the right to use this content for marketing purposes.
VOLUNTARY PARTICIPATION
You acknowledge and agree that your attendance or participation in the Event and any related activities, including demonstrations or hospitality offerings, is entirely voluntary.
You accept all risks of personal injury or damage to your property that may occur while attending the Event, whether or not such risks have been informed to you. To the maximum extent permitted by law, you hereby release Hexnode and its successors and assigns from any and all claims, known or unknown, foreseen or unforeseen, that may arise in connection with the Event.
LIMITATION OF LIABILITY
In no event shall Hexnode, its successors or assigns be liable to You for any: (i) indirect, incidental, special, consequential, or punitive loss or damage; or (ii) loss of profits, revenues, customers, opportunities, reputation, contracts, or goodwill, even if You have been advised of the possibility of such damages.
Subject to the above and other disclaimers and waivers of liability stated in these Terms, Hexnode, its successors, or assigns' total liability to you under these terms or in connection with the Event (whether in contract, tort, or otherwise) will not exceed USD $100.
INDEMNITY
You agree to indemnify, defend, and hold harmless Hexnode, its successors, and assigns from any and all claims, demands, losses, damages, judgments, settlements, costs, and expenses, including reasonable attorney fees, arising from your breach of these Terms, violation of any applicable law, or any liabilities incurred by Hexnode related to your attendance, participation, or access to the Event.
Each individual you register agrees to be individually bound by these Terms and agrees to indemnify Hexnode, its successors, and assigns for any breaches of these Terms.
FORCE MAJEURE
We shall not be liable to you where an Event is impacted for reasons beyond our reasonable control.
Hexnode is not responsible if an Event is wholly or partially cancelled, rescheduled, or postponed, or if there is any failure or delay in fulfilling Hexnode's obligations under these Terms due to factors including, but not limited to: (a) power or server outages, electronic or communications failures; (b) acts of God, natural disasters such as floods, droughts, earthquakes, or other calamities; (c) disease, epidemic, or pandemic; (d) terrorist attacks, civil wars, civil unrest, riots, wars, threats of war, armed conflicts, sanctions, embargoes, or diplomatic breakdowns; (e) nuclear, chemical, or biological contamination, or sonic booms; (f) actions by governments or public authorities; (g) building collapses, fires, explosions, or accidents; (h) labor disputes, strikes, industrial actions, or lockouts; (i) non-performance by suppliers or subcontractors; (j) utility service interruptions or failures; or (k) any other event that renders the performance of the Event wholly or partially impracticable, illegal, or impossible.
GOVERNING LAW
These Terms and all matters arising out of or relating to these Terms, whether in contract, tort, by statute or otherwise, are governed by and construed in accordance with the laws of California without giving effect to the conflict of law provisions. You agree to submit to the exclusive jurisdiction of the courts of California.
MODIFICATIONS TO THE TERMS
We reserve the right to update and revise these Terms, including any linked policies, by posting a revised version on our website at any time. The updated terms will take effect immediately upon posting. We are not obligated to notify you directly of changes to these Terms. By attending the Event after we have posted an updated version of these Terms, you explicitly agree to abide by the revised terms. We encourage you to review these Terms periodically for updates.
